Remote Access Tools

Remote working service allows you to access your office-based facilities when off campus. There are two methods QMUL provides to allow you access to your office facilities using your laptop or any computer anywhere in the world.

The two remote working services are:

1. VDI - Home Working Solution

NOTE: This service requires approval from the Centre Administrator/Line Manager before IT Services can set you up. 

This service is commonly referred to as VDI access, or VDI solution and the capacity has been scoped for occasional use acknowledging there will always be staff who may need to work from home. During periods where staff are unable to come to work for example, tube strikes. The VDI solution is not currently scoped to meet high demands and staff are asked to use the service responsibly i.e. logging out when not using the service, during these periods. This service is for staff who have already been migrated to the new central IT infrastructure. This includes staff using managed Windows desktops and will include most Mac users who are able to print to the managed printers.

VDI is based on virtual infrastructure VMWare's technology, which offers a virtual desktop using VMWare View Client. This desktop provides staff with access to a standard QMUL Windows machine with a variety of applications and access to personal and shared file store. It allows staff to access a managed desktop without leaving their own PC powered on, reduces the data security risk, and allows access to a Windows desktop from a variety of devices including PCs, Macs, and iOS and Android devices.

NOTE: Installation of the client is not compulsory but is advised. You can access VDI using the following link: https://vdi.qmul.ac.uk/ and choosing VMWare Horizon View HTML Access.

Checklist

Before you can access the QMUL Desktop Service from home please ensure all prerequisites are checked. If not, you may find you are not able to successfully work from home.

  1. Authorisation - You will need to have obtained Authorisation from your Centre Administrator/Line Manager for working from home access.
  2. Computer - You have a Windows, Mac, or i386 Linux computer at home with an Internet connection.
  3. Login ID - You also have a QMUL username and password.
  4. Registration - You have been registered to use VDI by the Service Desk.
  5. Smartphone/Tablet or Key fob - You have access to one of the following:
    • Smartphone/Tablet and the Dell Defender application installed. This can be installed from the PlayStore (Android) or Apps Store (iPhone)
      Or
    • You have been provided with a Key fob (only applicable if provided by the Service Desk).
  6. Training - You have received sufficient training by the Service Desk on how to use the Homeworking solution.
  7. Installation - You have successfully installed the VMware View Client application to your home Windows/Mac/Linux system.

How to activate a soft token

  • The Service Desk will register your account on Defender for VDI access. You will receive an automated email to your QMUL email address to download and activate the token.

Example email:

  • Open the email using your smartphone and click on the Download Token Software link. You will be directed to the apps store (iPhone)/Play Store (Android) to download the Dell Defender App.
  • You must open the email on your smartphone in order to activate the token. Click the Activate Token link from the email to begin the activation process.

NOTE: You can open the email from the Internet browser of your mobile phone if you have not set up your email. If you cannot find the email in your Inbox, please check your Junk folder.

  • You are now ready to authenticate yourself through the VMware View Remote Access Solution. You will be shown an activation token as shown in the image below.

How to install VMWare View Client

1. Go to https://vdi.qmul.ac.uk/ using your internet browser (e.g. Internet Explorer, Chrome) and select Install VMware Horizon View Client.

2. This will redirect you to the VMware website. Select the correct version for your operating system, e.g. 64 bit or 32 bit.

NOTE: To find this out on a Windows machine go to the Control Panel and select System. The details will appear under System Type.

3. Click Download.

4. Run the downloaded file. Read and accept the terms by clicking on I Agree & Install.

5. Click Next.

6. Wait for installation Status to be completed.

7. Click Finish.

8. Select New Server. Enter vdi.qmul.ac.uk in the field and click Connect.

9. Click Accept, when the Disclaimer is displayed.

How to use the VMWare View Client

1. Once installed, open the VMware View Client application installed by selecting the VMware Horizon Client on your computer.

2. Click Accept.

3. Enter your QMUL username and password, and click Login.

4. Enter the One Time Passcode using your Dell Defender Token provide by your soft or hard token.

5. Select Windows 8.1 Staff and double click.

6. Click OK to accept the terms.

7. Now use your QMUL virtual desktop.

Known Issues

Black screen on login

Go into the options on the View client and set to Fullscreen rather than the default which is All Monitors as below:

Outlook & VDI remote access - Messages remaining in the Outlook Outbox

The Outlook client is not supported when using VDI remote access. If you do use Outlook during a VDI session sent emails will remain in the Outbox.

To send and receive email when using VDI you should use webmail https://mail.qmul.ac.uk

2. Direct Access

This service allows managed laptop users to access their file server (G: and J: drive) via Internet (Wi-Fi or wired network) both on and off campus. This will also allow access to some of the services which are not available off campus for example MyHR. The access and experience is the same as working within the QMUL office environment.

How does Direct Access work

Direct Access is not a full mobile solution like 3g and 4g on your phone for example. For Direct Access to work it needs to be connected to a wireless or fixed network. For example if you are taking the laptop home then you will have to connect the laptop to your own wireless or wired network first by entering the local wireless SSID and password. Once your laptop is connected to the Wi-Fi network and has internet access then the laptop will automatically try to connect via Direct Access to the QMUL network.

To check if the laptop is connected to Direct Access, you will need to click on the Wi-Fi signal icon in the bottom right hand corner and under Connections it will say University Connection and once connected it will say Connected.

NOTE: From starting the laptop to see the information on the signal icon may take up to 10 minutes.

Please see below the steps of how to connect a QMUL managed laptop through Direct Access

  • Go to Wi-Fi settings

  • Click on Wi-Fi signal which will show available Wi-Fi Access Point

  • Select your desired Wi-Fi access point and Click on Connect. This may already have access and password configured, if not you will need to provide the same. In the below example we use Eduroam but you may use your home or hotel Wi-Fi access point

  • If you are successfully connected to the Internet the laptop will then try to connect to the ‘University Connection’ as shown in the picture’s below. Please note the establishment of a connection to the university network may take up to 10 minutes

  • Once connected to the University connection you will be able to access your files, applications and network services available in the university
