Health and Safety in IT

Working in partnership to deliver a valued and effective experience of IT

Health and Safety Policy Statement

IT Services are committed to the safety and welfare of all employees through prevention, education and promotion of staff awareness on health and safety issues.
Our aim is to prevent and / or reduce workplace accidents by educating staff on safe practices in the workplace and reducing hazardous conditions for the good of all, directly and indirectly associated with IT Services.
It is our intention to develop and implement effective policies and procedures that will reduce or eliminate accidents and injuries through training, education and local inspections.


IT Services aims to provide services and assistance for each member of staff to establish and maintain a self-sufficient health and safety process with reference to the health and safety guidance and practices established by QMUL Health and Safety Directorate.


To achieve this, IT Services is committed to maintaining a safety process which actively involves all employees in identifying and correcting workplace safety issues in order to reduce accidents and injuries by providing health and safety training to all staff.

Roles and Responsibility

The CIO has overall responsibility for ensuring the health, safety, and well-being of staff, students and Visitors in IT Services.

The following roles are in place to ensure Health and Safety is carried out across ITS:

  • Department Safety Coordinators

        The Local safety Departmental Safety Coordinator (DSC) will manage the day-to-day health, safety and         well-being matters within the directorate.

  • Local Safety Coordinators

        A number of Local Safety Coordinators based in each service area support the DSC with the day-to-day health         and safety matters.

  • First Aiders

        Staff in each area and where possible in each building are trained in First Aid to ensure that help is readily         available should an incident occur.

  • Fire Marshals

        Staff in each area and where possible in each building are trained as Fire Marshals to provide help and         guidance in across their areas.

Staff  Support and Guidance 

  • The ITS Health and Safety Management Arrangements document contains further information on names roles and responsibilities as well as events for the year in ITS.
  • The Health and Safety ITS Guidance Document has been made available for IT Staff to help provide guidance in Health and Safety matters across ITS.
  • Some staff maybe in constant use of Display Screens, care should be taken as long term use can be stressful to the eyes the Online Display Screen Equipment (DSE) training for all Staff and is designed to give DSE users the necessary information to carry out an ergonomic self-assessment of their workstation. The DSE Eye care provides information on how eye care vouchers can be obtained.

Forms and Templates

An office inspection checklist has been made available to help guide and focus staff attention on potential areas of hazard, where a potential hazard has been identified the Office Based General Risk Assessment form should be used to capture and report any risks.
